How do you handle the management of your SaaS applications?
SaaS offers many advantages. For instance, investment costs are low, you can easily scale, updates are arranged automatically and it is much easier to make all your data securely accessible to your organisation. Moreover, the pressure on the IT team is reduced, as the management of servers, software and data is taken care of by the supplier.
However, there are also risks. For instance, the management of these apps is often overlooked as the growth of SaaS applications increases.
What does the market say?
Gartner analysis shows that the average organisation has 125 SaaS applications. For large companies, this rises to over 350 SaaS applications.
Many applications are unknown or not managed by IT or procurement organisations.
Between 2019 and 2022, SaaS grew from 6% to 11% of IT spending. Insight's experience shows huge economic waste, mirroring the industry's overall estimates of around 30%.
The impact will be greater as the 20 largest SaaS vendors raise their prices by >25% (2023 to 2025).

The three main challenges:
1. Commercial
There will be allocated licences/subscriptions that are not used. Or where cheaper or alternative licences are sufficient. This creates a growth in expenditure - often arising outside the control of procurement or central IT.
2. Policy
There will be many applications active that are not approved, some of which will not meet IT security standards. This is a serious risk in complying with legislation (e.g. AVG).
3. Operational
It is very likely that you have SaaS applications that overlap in functionality. Knowing where and how SaaS licences are used enables accurate cost allocation.
What to do next?
Given the size and scale of SaaS, it can be difficult to know where to start. The scale of the potential problems in SaaS is also unlikely to be well known, and the pain is likely to be spread throughout the organisation - so each group of stakeholders experiences only a small inconvenience, while some are completely unaware of it.
What may be marginal gains for one department, once combined, will make a significant contribution to IT and your financial success.
Visibility is at the heart of all these categories. Without knowledge, it is impossible to make informed decisions and take effective action.
Quick-wins for your business
Quick results are possible. Because of the relatively short-term contracts (1-year subscriptions), investing in SaaS management allows you to implement cost-saving measures and achieve a quick ROI. Key challenges can be your drivers for action.
SaaS Insights Service
Our SaaS Insights service is a quick way to gain insights so you can refine your SaaS management strategy and take action on the most attractive and relevant objectives.
We analyse SaaS consumption based on a representative sample of your end-user device to provide insight and support your strategy discussion on next steps. Because you need so little time, we can deliver results within a short timeframe. Several services are available for this purpose:
Discovery Service
One of our low-level services is the SaaS Discovery Service. Within the Discovery Service, we can offer two options depending on your budget; we can audit 25% or up to 100% of your environment for 30 days using the Snow SaaS Management Module.
Towards the end of the Discovery service, we present our findings and recommendations in a user report based on our assessment of your SaaS landscape. This is an important service to help understand your SaaS landscape and build the business case for a SaaS programme using real data.

Vendor Optimisation Project
After completing the Discovery Service, you may decide to proceed with an optimisation project focused on a specific supplier. This includes an assessment of the licence position for the products in scope, identification of re-harvesting candidates or efficiencies in licence allocations and a report with our recommendations.
SaaS-programma
We can provide a continuously managed service to help provide governance through our SaaS programme. This programme includes regular sprint activities to review and optimise licence allocations for SaaS vendors.
Regular reviews of licence allocations due to changes in the number of users can have a significant impact on your SaaS costs.
Regular sprint reviews help to map licence positions, make interim adjustments to licences and for renewal of required licence quantities.
